MailRambo (www.mailrambo.com) provides email verification. This policy explains what personal data we process when you use our website, dashboard, API, integrations and the MailRambo plugin for ChatGPT. Contact: hello@mailrambo.com or humblepoc@gmail.com.
Account data: your email address, name if you give it, and your sign-in credentials (held by our authentication provider). Usage data: the email addresses you submit for checking, the results, credit usage, API key metadata and request logs (such as IP address and timestamps). Billing data: plan and payment status; card details are handled by our payment processor and never reach our servers. Website analytics: basic page-view and referral information.
To run the checks you request, return results, keep your verification history, count credits, prevent abuse and fraud, provide support, process payments and improve the service. We do not use the addresses you submit for marketing, and we never email them.
When you connect MailRambo to ChatGPT, you sign in on mailrambo.com and approve the connection. We then receive, through OpenAI, the email addresses you ask ChatGPT to check and your tool requests. We link them to your MailRambo account so checks use your own plan and credits. Results are returned to ChatGPT and shown in your conversation, so they are also processed by OpenAI under OpenAI's privacy policy. We store a connection record (your account ID, granted permissions and full-check limit), access and refresh tokens (stored only as one-way hashes), and short-lived request records to prevent duplicate charges (kept up to 24 hours for completed requests). Connections expire after 30 days. You can revoke a connection at any time from ChatGPT's settings or by contacting us, and we will delete the connection records. We never receive your ChatGPT password or conversation history beyond the requests sent to our tools.
Account data and verification history are kept while your account is active. Cached verification results are kept for a short period (up to 7 days) so repeat checks are fast and free. ChatGPT connection records are kept until they expire or are revoked, plus a short period for security logs. When you delete your account we delete or anonymise your personal data within 30 days, except where we must keep billing records by law.
We do not sell your data. We share it only with service providers that help us run MailRambo: Supabase (authentication), Cloudflare (database), Vercel (hosting and analytics), Dodo Payments (payments) and our email-verification provider (full mailbox checks). When you use the ChatGPT plugin, results go to OpenAI as described above. We may disclose data if the law requires it.
Data is encrypted in transit (HTTPS). API keys and connection tokens are stored as hashes, and access to production systems is restricted. No system is perfectly secure, so please keep your credentials safe.
Depending on where you live, you may have the right to access, correct, export or delete your personal data, and to object to or restrict processing. Email hello@mailrambo.com or humblepoc@gmail.com and we will respond within 30 days. You can also revoke ChatGPT access at any time.
MailRambo is a business service. It is not directed at children under 13 (or under 16 where local law requires), and we do not knowingly collect their data.
